This Privacy Policy explains how Yashvan collects, uses, shares, stores and protects information when you use our website (yashvan.com), our products including Bank Statement Analyzer and Verify, and related services (together, the "Services").

Yashvan is a brand of SS Dynamics Solutions Private Limited (called "Yashvan", "we" or "us"). "You" means any person who visits our website or uses the Services.

By using the Services, you consent to the collection, storage, use and transfer of your information as described in this Policy, as updated from time to time.

1. Information we collect

Information about you and your account

  • Name, firm or company name, email address, mobile number, address, GSTIN and login details.
  • Billing and payment records, such as invoices, credits purchased and transaction references. Card and bank details are handled by our payment gateway and are not stored by us.
  • Support requests, emails, feedback and other communications with us.
  • Technical and usage data, such as IP address, browser and device type, pages visited, features used, and dates and times of access.

Data you upload or submit to use the Services ("Customer Data")

  • Bank statements and the transaction details, names and account information they contain.
  • Tax Identification details that you submit for verification, and the results returned.
  • Reports, classifications and other outputs generated from that data.

Customer Data often relates to your clients, vendors or customers. You are responsible for making sure you have their consent, or are otherwise legally permitted, to upload it.

2. How we collect information

  • Directly from you, when you sign up, upload files, submit verification requests, make payments or contact us.
  • Automatically, through cookies, logs and analytics tools when you use our website and Services.
  • From third parties, such as government registries and authorized data providers when you run a verification, and payment gateways when you make a payment.

3. How we use information

  1. To provide, operate and maintain the Services, including processing Customer Data and generating reports and verification results.
  2. To create and manage your account, process payments and issue GST invoices.
  3. To respond to your questions and provide customer support.
  4. To send service messages, such as payment confirmations, credit balance alerts and important updates.
  5. To send product updates and offers, which you may opt out of at any time.
  6. To monitor usage, fix problems, improve the Services and keep them secure.
  7. To comply with legal obligations and enforce our Terms and Conditions.

We use Customer Data only to provide the Services to you. We do not sell Customer Data, and we do not use it to train artificial-intelligence models.

4. How we share information

We share information only as needed to run the Services, with:

  • Service providers who help us operate the Services, including cloud hosting (Microsoft Azure), document reading (OCR) and artificial-intelligence service providers, email and analytics providers, and payment gateways (such as Razorpay).
  • Government registries and authorized data providers, to the extent needed to complete a verification you request.
  • Our group companies and professional advisers, such as auditors and lawyers.
  • Authorities, courts or regulators, where required by law or to protect our rights, users or the public.
  • A buyer or successor, in case of a merger, acquisition or sale of all or part of our business.

We require our service providers to keep information confidential and to use it only for the services they provide to us. Our primary data is hosted in India. Some service providers may process information outside India.

5. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences and understand how our website is used. You can control cookies through your browser settings, but some features may not work without them.

6. Data storage and retention

We keep account and billing information for as long as your account is active, and afterwards for as long as required for legal, tax and accounting purposes.

Bank statements you upload are held only temporarily in secure server memory while you work on them, and are erased automatically when your session ends (within 30 minutes), when you log out, or when you upload another statement. They are never saved to our database or to disk.

For Verify, we keep your verification results, certificates and bulk-upload records so you can view and download them later. You choose how long we keep them, from 1 to 365 days (365 by default), in your account settings. After that period they are deleted automatically. Usage and billing records are kept as described below.

We keep usage records, such as the date and time, the service used, the credits consumed and, for Bank Statement Analyzer, the bank name, statement period and client name, for billing and legal purposes. These records do not contain the statement itself, its transactions or account numbers.

Our service providers may retain data briefly under their own security and legal obligations.

7. Security

We use reasonable technical and organizational safeguards to protect information, including encryption in transit and at rest, access controls and regular security reviews. However, no method of transmission over the internet or electronic storage is completely secure.

If we become aware of a security breach affecting your information, we will notify you by email or other suitable means as soon as reasonably practicable, as required by law.

8. Your choices and rights

  • You may access and update your account information from your account settings or by contacting us.
  • You may ask us to delete your account and associated data, subject to legal retention requirements.
  • You may withdraw your consent at any time for future processing. This may mean we can no longer provide some or all of the Services.
  • You may unsubscribe from promotional emails using the link in those emails. We will still send essential service messages.

We may need to verify your identity before acting on a request.

9. Third-party websites

Our website may link to other websites and services. This Policy does not apply to them, and we encourage you to read their privacy policies.

10. Changes to this Policy

We may update this Policy from time to time. The updated version will be posted on this page with a new effective date. Continued use of the Services after an update means you accept the updated Policy.

11. Governing law

This Policy is governed by the laws of India, and any dispute relating to it is subject to the Terms and Conditions.
